 Alchemy Community Partners is an Indiana HOA management company that supports association boards with financial administration, vendor coordination, homeowner communication, records management, and day-to-day community operations. When Alchemy manages your association, we serve as a primary contact for many administrative questions and requests. 


 Alchemy supports the HOA board with responsibilities defined in the association’s management agreement. These may include:

  • Assessment billing and financial recordkeeping
  • Vendor coordination and maintenance follow-up
  • Homeowner questions, requests, and concerns
  • Meeting preparation and board communication
  • Records and document organization
  • Covenant and policy administration under board direction


The board remains responsible for governing the association and making policy decisions. Alchemy helps carry out approved responsibilities and keeps the board informed.


 Use the communication methods provided for your community, which may include an online portal, email, or phone. Include your name, property address, community name, and enough detail for us to route and track the request appropriately. 


Payment and account-access options vary by community. When an online portal is available, homeowners may be able to:

  • Pay assessments
  • Set up recurring payments
  • View account balances and payment history
  • Update contact information

Late fees, interest, collection procedures, and available payment arrangements are determined by the association’s governing documents, adopted policies, and applicable law. Contact Alchemy promptly if you have questions about your account or are experiencing financial difficulty. 


Submit the concern through the communication method designated for your community. Include the location, a clear description, and photographs when helpful. Alchemy will document the request, determine whether it falls within the association’s responsibility, and coordinate follow-up or board review as appropriate. 


Homeowner meeting rights and procedures depend on the association’s governing documents and applicable requirements. Check your community’s notices, portal, or meeting schedule for dates and participation instructions. Contact Alchemy if you need help locating the information. 


Community documents may be available through the association’s portal, website, or records provided by management. These may include governing documents, rules, architectural guidelines, forms, meeting notices, and approved minutes. Contact Alchemy if you cannot locate a document. 


Review your community’s architectural guidelines before beginning exterior work. Depending on the proposed change, you may need to:

  • Review the applicable standards
  • Submit an architectural request and supporting information
  • Wait for written approval before beginning work


The board or architectural committee makes the approval decision. Alchemy may receive the application, confirm that it is complete, track the review, and communicate the decision.


Personal disputes are often best addressed through respectful communication when it is safe and appropriate to do so. If the concern may involve a governing-document violation or common-area issue, contact Alchemy with the relevant facts. Management can document the concern and determine whether it should be handled administratively or referred to the board.


For emergencies, threats, suspected criminal activity, or immediate safety concerns, contact the appropriate public authority rather than the HOA management company.


 The HOA board adopts policies and makes governance decisions within the authority provided by the association’s governing documents and applicable law. Alchemy administers approved processes, communicates with homeowners, maintains records, and refers matters to the board when a decision is required. 


 For fire, medical emergencies, threats, suspected criminal activity, or immediate safety concerns, contact 911 or the appropriate public authority. For urgent common-area property issues, use the emergency contact instructions provided for your community. 


 Contact us with your community name, property address, and question. We will route the request appropriately and explain whether it can be handled by management or requires board review.
